All pen repairs are serviced by the Diplomat manufacturer in Germany. The repair process can take up to 8-10 weeks.
We send repairs to Germany in batch on or around the 15th business day of each month.
To initiate a repair, please e-mail us at info@mydiplomatpen.com with the following information:
Please include "Attn Repairs" in the e-mail subject
Information about you and your pen:
- Your name
- Your address
- Your phone number
- A detailed description of your pen (i.e. model, type, color, year purchased)
- An explanation of the problem that you are having with your pen
- Including digital pictures of your pen is extremely helpful in determining repair options
We commit to respond to your request within 5 business days with additional questions or shipping instructions. We will advise you of the repair category that applies to your pen; please review the following policy and contact us with any questions.

Repair Policy, Fees, and Payment Terms
Category I Repair - $0
Pens purchased through our web site carry a two year warranty. Shipping from our facility to the Diplomat manufacturer in Germany and back to you will be handled free of charge.
Category II Repair - $20+
All Diplomat pen repairs outside of the current Classics and Moderns Collections will be charged a $20 handling fee*.
*Diplomat stands behind their commitment to quality and will make every effort to repair your pen free of charge. An additional repair fee may be required depending on the extent of the repair. In this instance, we will contact you to advise you of the additional fee and allow you to decide whether or not you would like to proceed with the repair. If you choose to decline the repair then you will still be responsible for the $20 handling fee.
Category III Repair - $8
In the event that Diplomat is able to replace a Category II Repair without requiring you to send your damaged pen for repair, an $8 handling fee will be charged.
Payment Terms
Handling fees and additional repair fees are not required to initiate a repair but must be received prior to the return of your pen.
